A useful custom plastic sheet RFQ gives the supplier enough information to select the right material, calculate usable yield, assess fabrication time, plan inspection, and quote shipping. “Please quote HDPE sheet” may produce a fast price, but it rarely produces comparable or reliable offers.
You do not need to know every technical answer before contacting a manufacturer. Separate fixed requirements from preferences and open questions. A responsible supplier can then recommend options without silently making assumptions that later change the price or product.
For a fast first review, send: application, material or performance need, finished dimensions, quantity, drawing if applicable, operating conditions, destination, and required date.

1. Describe the application before naming a material
Tell the supplier what the sheet or part does. Include whether it is a guard, liner, tank component, cutting surface, outdoor panel, engraved sign, machined guide, or other assembly. State what it contacts and how failure would affect the project.
For chemical use, provide the chemical name, concentration, contact time, and temperature. For mechanical parts, provide load, support spacing, movement, impact, abrasion, and mating components. For outdoor use, state sunlight exposure, temperature range, expected service time, and color requirement. This context is often more useful than asking for a vague “industrial grade.”

2. Identify the exact material and compliance scope
If the material is already approved, provide the polymer, grade or product code, color, surface, and whether virgin or specified recycled content is required. State any additive need such as UV stabilization, antistatic or conductive performance, flame behavior, or custom color.
For food contact, potable water, electrical, flame, or other regulated uses, name the applicable standard, market, and document required. Ask the supplier to confirm that the evidence applies to the exact finished grade, color, additives, and thickness range—not merely to a base resin.
3. List every size, quantity, and tolerance
Use one dimension table when the RFQ includes several sheet sizes or parts. Include units on the drawing and in the email. Distinguish nominal stock dimensions from finished dimensions after cutting or machining.

Do not copy metal tolerances onto plastic parts without reviewing function, size, temperature, and machining stability. Mark only the dimensions that truly control fit or performance. For sheet selection, see the HDPE thickness guide.
4. Attach controlled drawings and useful file formats
For fabricated parts, send a dimensioned PDF drawing for quotation and inspection. Add a DXF for flat profiles or STEP file for 3D machining when available. Put the part number and revision on every file and state which document controls if there is a conflict.
The drawing should identify datums, critical dimensions, hole details, surface and edge requirements, threads or inserts, welds, engraving, and any appearance zones. A physical sample can help explain form or finish, but it should not replace measurable requirements.

5. Specify fabrication and finishing requirements
List whether the supplier should provide full sheet, cut-to-size blanks, CNC-routed profiles, milled or turned parts, drilled holes, welding, bending, engraving, assembly, protective film, or finished edges. State whether tool marks, burrs, scratches, and protective film are acceptable.

6. Define sample, inspection, and documentation
A quotation should include the quality scope, not leave it for after production. Identify critical characteristics and request the records your receiving team needs. For a new design or supplier, consider a material sample, color sample, first article, or small pilot batch before bulk production.

7. Give realistic quantity and schedule information
State trial quantity, first production quantity, estimated annual volume, and expected order frequency. The economics for a one-time prototype are different from a repeat program, custom color run, or container order.
Give the required arrival date and destination, not only “urgent.” Ask the supplier to show sample lead time, drawing or color approval time, production lead time, and transit time separately. Confirm what event starts production and whether the proposed date depends on material availability.
8. Define packing, destination, and trade terms
Provide the delivery city, country, postal code, receiving limitations, and preferred Incoterm if known. Ask for the proposed pallet size, units per pallet, gross weight, protective film or interleaving, edge protection, labels, and fork access.
For an accurate landed comparison, request the same trade term from every supplier. Clarify responsibility for export clearance, destination charges, duty, insurance, and unloading. Large sheets and finished surfaces may need a packing plan reviewed before production.
9. Make competing quotations comparable
Send the same RFQ revision to all candidates and ask them to list deviations. A useful quotation should repeat the grade, dimensions, tolerance, surface, color, quantity, fabrication, inspection, documents, packing, lead time, Incoterm, and validity.

Frequently asked questions
Can I request a quote without knowing the material?
Yes. Describe the application, temperature, chemicals, load, outdoor exposure, compliance, and required life. Ask the supplier to propose a grade and provide the basis and limitations of the recommendation.
Do I need a drawing for cut-to-size sheets?
A simple size table may be enough for rectangular blanks. Use a controlled drawing when the part has holes, profiles, critical tolerances, edge requirements, machining, welding, or inspection datums.
Should I include a target price?
It can help when the scope is flexible, but it should not replace a specification. Explain which features are fixed and where alternative grade, size, process, or packaging proposals are acceptable.
Why did the final price change after the first quote?
Common causes are an unspecified grade, revised quantity, custom color MOQ, tighter tolerance, added machining, documents, special packing, or a different trade term. A complete RFQ reduces these changes.
