Importing Plastic Sheets from China: Order and Shipping Checks

    2025-05-18

    share:

Buying plastic sheets from China starts with an agreed specification, not a broad plastic product label. Before ordering PP, PE or HDPE sheets or drawing-based parts, align material evidence, order terms and delivery responsibilities with the actual product and destination.

    1. Define the sheet or part you are buying

A packaging supplier and a sheet manufacturer may offer very different products. For a useful enquiry, identify:

    • Material grade: specify PP, PE or HDPE and any grade, colour, additive or recycled-content requirements.
    • Sheet form: distinguish full sheets, cut-to-size blanks and finished machined parts.
    • Application conditions: describe temperature, chemical contact, outdoor exposure and any regulated use.

Before treating a supplier's offer as equivalent, check:

    • Confirm the manufacturing and machining scope.
    • Identify any subcontracted work and the party responsible for inspection.
    • Request current documents for the offered grade, where required for the application.

A factory location or general certificate does not establish the performance of the particular sheet or finished part you intend to buy.

    2. Match documents to the destination and use

Identify requirements for the offered product and intended use with the importer or qualified adviser. The table below is a review prompt, not a universal certificate list:

    Destination marketApplication-specific document review
USFor food contact, check the exact material and intended conditions of use against the applicable FDA basis.
EUFor plastic food contact, review applicable EU requirements and supporting declaration; assess RoHS only where the end use falls within its scope.
Middle EastIdentify the destination country, product category and importer-specified conformity or customs requirements.

Before ordering, confirm that the required declarations and test reports cover the offered material and intended use in the destination market. A general product overview is not proof of compliance.

    3. Compare quotations on the same basis

A low sheet price does not necessarily mean a low delivered cost. Compare the same grade, dimensions, quantity, fabrication and documentation scope, then check:

    • Material and quantity: record the offered grade, recycled-content basis, order quantity and quotation validity.
    • Cutting and machining: separate sheet supply from drawing-based work, setup charges and any requested tooling.
    • Surface and inspection scope: identify the required finish, sample approval and acceptance checks.
    • Delivery terms: state the Incoterms® rule, named place or port and version, then confirm freight, insurance and customs responsibilities.

For containerised shipments delivered to a terminal, discuss whether FCA matches the handover better than FOB. DDP must not be assumed available; it requires the seller to handle import formalities.

    4. Agree acceptance criteria before production

For sheet orders, resolve differences that could prevent the material from fitting the application:

    • Dimensions and tolerances: separate sheet thickness variation, cut-size tolerances and finished-part drawing tolerances.
    • Material identity: agree grade, colour, additives and virgin or recycled-content requirements.
    • Colour and surface appearance: agree a reference and acceptable variation rather than assuming identical batches.

Define the required checks and records in the order:

    • Inspection plan: agree which dimensions, surfaces and drawing features will be checked, by whom and at what stage.
    • Material records: identify the declaration, batch reference or test report required and confirm its availability.
    • Sample approval: record what the sample represents and which production requirements still need verification.

Confirm the inspection and documentation scope with us for the proposed order. Do not assume third-party inspection, complete resin traceability or application testing is included by default.

    5. Confirm packing, shipment and customs documents

Coordinate the order with the supplier, forwarder and importer before booking shipment:

    • Exporter and importer responsibilities: identify who prepares the agreed documents and completes the relevant formalities.
    • Packing requirements: agree face protection, pallet or crate, package dimensions, weight and marking; check any wood-packaging requirements with the forwarder.
    • Customs classification: have the importer or customs professional check the actual product description, composition and form; do not select an HS code from the plastic name alone.
    • Shipment documents: agree the invoice, packing list, transport document and any required origin or compliance documents; reconcile quantities and descriptions.

Confirm the shipment schedule and named loading or delivery point in writing. Any requested DDP arrangement must be specifically agreed and feasible. Available delivery arrangements and dates are confirmed for the actual order.

    6. Confirm confidentiality and drawing control

If the enquiry contains confidential drawings or specifications, discuss the handling arrangements before sharing them:

    • Confidentiality terms: agree what information is covered and how it may be used or shared.
    • Drawing control: identify the approved revision, ownership and permissions for manufacturing.
    • Tooling scope: where tooling is actually required, agree ownership, storage and return arrangements separately.

Agree confidentiality and any tooling arrangements with us for the actual project. Neither an enquiry nor a general quality certificate establishes a signed NDA.

Review the specification, documents and delivery basis together

Use one written order scope covering material identity, acceptance criteria and delivery responsibilities. Resolve open questions about required evidence, fabrication scope and shipment arrangements before committing to production. This checklist supports an enquiry; it is not customs, legal or application approval.

    Confirm the export order scope

    • Sheet and machining: specify thickness, dimensions, colour, cut-to-size work and drawing features; confirm what is actually offered.
    • Inspection and records: agree dimensional and surface checks and the documents required for the order.
    • Packing and delivery: agree protected faces, pallet or crate, marking, delivery basis and destination.

Send the sheet order requirements for review

Send the material requirement, thickness and dimensions, drawing and revision, quantity and destination, together with the intended use and required documents. We confirm the scope we can offer, minimum order quantity, delivery terms and lead time for each enquiry.
