Before placing an HDPE sheet order from China, agree the specification your receiving team will check. Keep the agreed grade, finished dimensions, applicable drawing revision and inspection requirements in the purchase order. Agree how inspection records and shipment labels will identify the supplied items, including any batch references needed for traceability. For an order with us, use the points below to identify details that need confirming before production; a material name and a price are not enough to decide whether a delivery meets your requirements.
Match the HDPE grade to the order
Keep the offered HDPE grade or product code, virgin or recycled-content requirement, color, finish and any specified additives together in the order. Request a data sheet for that grade; typical property values are not batch inspection results or agreed acceptance limits. If food contact, outdoor exposure or another requirement matters, identify the intended conditions and documents needed. Confirm that available evidence covers the material actually offered, rather than assuming approval from the name HDPE.
Write finished sizes and measurement conditions
Distinguish full-sheet stock dimensions from finished cut sizes, and state thickness, length, width, units and quantity for each item. Where fit or flatness matters, record the permitted variation and how it will be checked, including support and measurement conditions. HDPE dimensions can vary with temperature, so compare measurements taken on an agreed basis. Specify acceptable edge and surface condition; use an identified physical color or finish sample when appearance is critical, not a screen image.
Keep fabrication and use conditions with the drawing
For holes, profiles or machined features, put the part number and current drawing revision on the order. Confirm which drawing or model controls, the dimensions that determine fit and any finishing included in our offer. Also record relevant load, temperature, chemical-contact or outdoor conditions used in material review. A machining quote confirms the agreed supply scope; it does not by itself approve a tank, load-bearing assembly or safety-critical design.
Agree inspection records before production
Agree which checks will be completed before shipment and which you will perform on receipt. Specify the measured features, sampling quantity, acceptance limits and records required, with order, item and batch identifiers where traceability is needed. If a sample or first article is part of approval, record exactly what it represents and who can release production. Color approval alone does not approve dimensions or application performance. Confirm document availability, cost and timing before ordering.
Identify the packages and delivery scope
Use the packing list to identify each size or part, quantity and package reference. Agree surface protection, pallet or crate dimensions, gross weight, shipping marks and any unloading limits. For export delivery, record the trade term, named place or port and edition if using an Incoterms rule, together with any excluded charges. Keep the date when the goods will be ready for dispatch separate from estimated dispatch and arrival dates so the receiving team plans against the correct milestone.
Plan receiving checks and discrepancy records
At receipt, check package condition, labels, quantity and the agreed dimensions before using the sheets or machining the blanks. If a result differs from the order, keep the affected item and package references with photos, actual measurements and measurement conditions. For an order placed with us, send those records with the purchase-order number and applicable drawing revision so we can review the discrepancy against the agreed specification. Do not treat an unapproved material substitution as equivalent simply because its color and size look similar.
